Challenge

The agency came to us needing tighter control over large-scale spend than Meta’s built-in rules could give them, and without adding headcount:

  • Scope of ad management: Up to 250 live ads at once made it hard to track performance and act on it in time.
  • Multi-timeframe performance analysis: Reading results over 3, 7 and 14 days at the same time takes a structured routine, or underperformers sit live for days.
  • Budget adjustments and scaling: Moving budgets by hand off yesterday’s numbers is slow, and it is the first job to slip when a team is busy.
  • Bid and cost caps: Meta’s auction keeps moving. Caps need watching and resetting constantly, which is difficult to do properly across dozens of accounts.

Solution

We took the day-to-day buying off the agency’s team. We monitor ad performance daily and handle bid adjustments, creative duplication and ad-set management across every account, on a fixed reporting rhythm rather than on request. The engagement started on Meta and expanded to Google Ads and TikTok Ads.

Managing high-spend periods

Peak seasons like Q4 are where large, fluctuating budgets go wrong. Their clients run everything from month-long sales to two-day offers, so campaigns have to switch on and off at exact moments. Because the agency operates remotely across several time zones, we own the launch calendar and the out-of-hours checks — ads go live when they are meant to, and nobody has to be at a desk to make it happen.

A safety net against platform bugs and errors

Platforms glitch, and when Meta does, the money still goes out. We check spend against expected pacing on every account daily, so a platform fault is caught the same day instead of at the end of the week. That is what keeps their clients’ trust intact.

On one occasion a Meta bug dropped bid caps overnight and accounts started spending with no purchases coming back. We caught it and paused the affected campaigns before the waste passed $1,000.

Security and anti-hack cover

Ad-account hacks have become common, usually through a compromised email account. We put spend guardrails on every account we run for them, with hard daily limits a hijacked account cannot quietly exceed.

If spend spikes unexpectedly inside an hour or two, our team is alerted in Slack and by email and acts on it straight away — the agency does not have to be the one who notices.
